Transform
and Automate Certification Management
Activities for Regulatory Markets
Testing and assessment companies are
successfully using technology to efficiently
offer web-based testing and assessment
services but in most cases still use manual,
paper-based processes for managing
traditional paper and pencil testing. Large
market sectors that still requires paper and
pencil testing include the state regulatory
agencies that govern the licenses of
professionals practicing in various
industries such as healthcare, cosmetology,
real estate, technology, financial services,
and technical trades.
To transform and automate the certification
management activities of testing companies
that provide services to the regulatory
markets,
InSite offers its Conductor™ Testing Edition
service that provides a unified web-based
solution for managing all stakeholders
involved in the certification process. These
stakeholders include the testing company
itself, Candidates that apply to take tests
at testing events, Evaluators that proctor
the testing events, Senior Evaluators that
manage Evaluators, Facilities that request
testing events and where many events are
physically held, and Agencies that provide
labor to fill proctoring requirements of
testing events. Conductor™ enables testing
companies to electronically and efficiently
manage each of these stakeholders to reduce
costs, improve worker productivity, and
manage business risk.
A Complete Testing Event Lifecycle
Management Solution
Conductor™ Testing Edition offers
organizations a
complete testing event lifecycle
management solution for all event
stakeholders from event qualification and
enrollment through post event management:
Event Qualification.
Conductor™ offers several flexible
methods to electronically enroll and
qualify Candidates, Evaluators,
Facilities, and Agencies ("users").
System Administrators can enroll
previously qualified users or
Conductor™ can be configured to have
users electronically enroll
themselves either directly through
the system or indirectly through
another website. Upon enrollment,
information provided by the user is
electronically routed through
predefined qualification steps
before final approval and user
activation on the system by the
testing company. The qualification
steps may include credentialing
through automatic lookups with
database information or review of
supporting enrollment information
(such as I9 forms, W4 forms, SSN
certificates, etc.) provided by the
Candidate or Evaluator — and
received electronically by the
testing company as part of a single
application file. Once approved,
Evaluators are able to easily set
their schedule preferences for event
testing opportunities in terms of
desired work locations and work
hours. Facilities can be qualified
by testing companies through
automatic scheduling of site visits
to ensure compliance is met with
facility testing requirements. These
paperless processes enable faster
processing, reduce costs by
eliminating inefficiencies of manual
processing, reduce processing
errors, and deliver a complete audit
trail to effectively manage business
risk.
Event Scheduling.
Scheduling testing events with
Conductor™ takes only seconds and is
simple as creating an event need.
Conductor™ can be configured for
event creation by the testing
company only or also by qualified
Facilities. The user creating the
testing event the key requirements
for each event including such
elements as location, time, minimum
and maximum number of Candidates,
licensing requirements of
Evaluators, Evaluator-to-Candidate
ratio, and various other variables.
With these requirements and using
system configurations set by the
testing company to minimize costs,
Conductor™ automatically notifies
qualified Facilities, Candidates,
and Evaluators in the system of
event details by email, text
message, or telephone. In most
cases, Candidates are automatically
enrolled in testing events and
notified of event specifics.
Qualified Evaluators that have set
their preferences to work anytime
are immediately scheduled and are
simply sent a confirmation of their
scheduled event. Evaluators that
have set their preferences to be
offered a job before scheduling are
given the opportunity to accept or
reject an offer to proctor an event.
Conductor™ clients typically report
event needs being filled within 5
minutes of event need creation
— an exponential decrease in the
time required with traditional
manual scheduling processes. In
addition to scheduling testing
events, Conductor™ enables testing
companies to automatically schedule
evaluations of Evaluators by Senior
Evaluators. This systematic
evaluation enforcement of Evaluators
helps testing companies comply with
client requirements with a full
audit trail of evaluation activity.
Event Preparation & Certification.
Conductor™ helps testing companies
automatically manage activities
leading up to the actual event.
These activities may include
electronic escalations for events
that require human involvement to
resolve such issues as a shortage of
Candidates or Evaluators for an
event, event cancellations,
automatic event reminders to all
event participants, and distribution
of testing materials to
Evaluators and Candidates.
Event Occurrence.
With Conductor™, Evaluators can
electronically check-in Candidates
in a matter of seconds. In addition,
Conductor™ can be configured for
Evaluators to capture various test
information required by testing
companies.
Event Completion.
Upon event completion, Conductor™
enables testing companies to
electronically receive required
event evaluations from Evaluators.
Evaluation forms are fully
configurable for each type of event
and Evaluators are able to upload
supporting documentation as
required. In addition, Evaluators
can electronically submit invoicing
for reimbursement of event expenses
as allowed by the testing company.
Invoices are electronically routed
as necessary for testing company
approval and Conductor™ can
interface with accounting systems
for invoice payment. Evaluators are
have the capability to view the
status of any invoice throughout the
approval process.
Post Event Management.
For post event management
activities, testing companies are
able to audit a range of system
transactions including event
communications, Evaluator
evaluations, Evaluator invoices, and
various other variables. In
addition, Conductor™ can optionally
be configured to keep electronic
copies of test results or test
summarizes for access by authorized
users only.
